An established Business Manager is responsible for all aspects of support services within a school environment to contribute to effective teaching and learning outcomes in New Zealand schools.
The Business Manager will ensure compliance with all relevant legislation that pertains to the categories below.
Duties may include, but are not limited to:
Human Resources
Managing, further development and implementing a range of strategies to ensure the effective administration of human resources within the school
Being responsible and accountable for the maintenance of human resource records within the school
Managing the employment process from vacancy to offer of employment
Managing and maintaining all payroll processes on Novopay and/or alternate payroll

Providing reports to the Principal or delegated authorities from Novopay and/or alternate payroll

Managing the appraisal process for all support staff

Ensuring all leave is recorded correctly
Ensuring relief teacher costs are paid and coded correctly
Developing and reviewing guidelines for personnel procedures and internal controls
Managing induction programmes for new staff in liaison with the appropriate person
Have an understanding of all relevant Collective Agreements
Liaising with external contacts, advertising positions and fielding queries from prospective candidates
Ensuring the effective professional development of education support staff
Ensuring all Board policies are adhered to


Understanding of the concepts of procurement

Implement and manage tendering procedures

Manage school's contract register

Supporting the Board, Principal and staff with all current and relevant requirements for International Public Sector Accounting Standards, Inland Revenue Department and Ministry of Education 
Preparing monthly and/or annual financial reports for the school/proprietors board(s) and any other appropriate committees
Preparing the annual budget
Monitoring monthly expenditure to ensure effective budgetary control
Ensuring systems, policies, procedures and manuals are current and appropriate
Attending meetings as required on all financial matters
Controlling, administering and managing accounts receivable/accounts payable
Asset management, ensuring assets are recorded accurately
Managing the international students financial systems
Managing capital purchases, leasing and rental contracts
Overseeing funding applications
Ensuring all Board policies are adhered to
Student Administration
School reporting, and modifying templates for School Management System 
Managing student attendance and records
Conducting data extraction from SMS for student learning outcomes
Managing Enrol
Archiving all school documentation
Ensuring all Board policies are adhered to
Board Secretary
Returning Officer for Board elections
Drafting school-based policies in line with Ministry of Education requirements for review and adoption by the Board
Managing school compliance checklists
Acting as intermediary between school and Board
Ensuring all Board policies are adhered to
Updating and managing school website content
Being responsible for the rollout of new technology
Managing the school’s infrastructure
Managing the TELA Laptops for Teachers and Principals programme
Assisting in the preparation of Five Year Property Plan and Ten Year Property Plan in line with Ministry of Education procedures.
Ensuring all contractors on site understand and comply with appropriate legislation
Ensuring regular inspections of site for a safe working and learning environment
Ensuring jobs are completed by contractors to the required standards
Being the school liaison person for all building projects
Managing all maintenance matters
Managing hire facilities
Managing project delivery and procurement

Conducting publicity events

Ensuring school brand is positively promoted and protected

Marketing and development of additional income streams
Health & Safety
Principal’s liaison for Health & Safety Committee
Managing incident reporting and regulatory requirements to report
Interfacing with outside H&S agencies
Performance Criteria
A business manager may be expected to demonstrate the following:
Substantial experience within the management of support services of an organisation
Ability to lead support services within a global environment
Substantial experience in project management and successful implementation of strategic goals
Experience of strategic management and planning
Ability to complete tasks in an accurate, time-efficient manner
Excellent customer service skills in order to communicate with all stakeholders within the community including parents, teachers, students, Principal and Board 
Ability to work under pressure in order to meet deadlines
Excellent organisational and interpersonal skills
Ability to work independently with confidence and initiative
Excellent oral and written communication skills
Ability to work as part of a team and contribute towards achieving the goals and objectives of the Board and school
Competence in the use of Technology (e.g. Microsoft Word, Excel and Cloud based technology)
